In Touch's Works Order System is just the job for Carillion Surrey

As any operations manager will know, paperwork can be a never ending task. Creating and sending job sheets is time consuming and manual systems leave the process open to a whole host of pitfalls such as mislaid paperwork, illegible handwriting and incomplete data. The knock on effect is that it could be costing you dearly with delays in invoicing.

Morecambe based company, In Touch Ltd, provide a solution to all of these problems with their Works Order Software System which can also incorporate a tracking function. The company recently won a contract to supply both their Works Orders and Tracking Systems to the entire fleet at Carillion in Surrey.

Having worked with a paper based system for many years; In Touch’s software solution has made a significant difference to productivity. By automatically calculating the most efficient route, the system not only saves on fuel costs but it also means the crews can fit more jobs into their working day and be much more productive. This feature also assists organisations in cutting their carbon footprint.

If the work scheduler has an urgent job, it can be input into the system and the crew will be notified within just a few minutes. This has proven to be a very useful feature for Carillion which is contracted to maintain the highways on behalf of Surrey County Council. As soon as a job has been authorised, Carillion can instruct it’s remote workforce instantly, increasing efficiency and reducing turnaround time.

Another impressive feature of In Touch’s system is that the crews hand held device incorporates a camera facility to provide photographic evidence of work carried out. Traditionally, an inspector would have to physically visit the site and this would obviously take time and resources, now jobs can be inspected instantly from the desktop by the contractor and the client – providing full transparency - a very powerful tool when bidding for contracts.

In Touch’s Works Order System is simple and easy to use. The works orders are entered onto the main web based office system and are dispatched instantly over the 3G network for the crews to view on their hand held devices. Job report fields cover information such as start / finish times and materials used. Once the crew have completed the job, the information is instantly fed back to the central system. This allows the client to be invoiced far more promptly without having to wait for paperwork to be returned from the crew which might then need to be queried for incomplete data.

The fact that the system is web based allows management access from any location, 24 hours a day and gives a full audit trail at the click of a button. Wages, fuel and material costs can all be monitored, providing valuable host costing data so not only can organisations identify their most profitable contracts but they can also gain valuable information for future tender bids.

Using the In Touch system will allow Carillion to have instant control of their works orders from issue to completion and will result in major working efficiencies for both themselves and their client base.
